Traineeship Mobility - Before the mobility

1. What should I do before my mobility?

Before starting your mobility, you must complete the necessary before the mobility tasks to receive the Grant Agreement issued by the ELTE Department of Erasmus+ and International Programmes, which is a prerequisite for the disbursement of the Erasmus+ scholarship. 

As part of the before the mobility tasks, you will need to complete a questionnaire, take the OLS test, have a document proving your insurance (e.g., EU health insurance card), and obtain a Learning Agreement signed by all parties: the outgoing student, the programme director, and the host institution.

2. What is the Learning Agreement?

The Learning Agreement (LA) is the Annex 1 of the Grant Agreement, in which the Erasmus+ student agrees with their sending programme director and the receiving institution on the internship plan to be undertaken abroad. 

Until this document is not signed by all parties (outgoing student, programme director, host institution), the Grant Agreement is not valid and you cannot start your mobility.

3. Who is the responsible/contact person of my Learning Agreement at the sending and receiving institution?

It is advisable to gather information about the responsible/contact person and their contact details from the host institution. 

The responsible person of the sending institution (ELTE) is the programme director (BA/BSc programme directors; MA/MSc programme directors), the contact person is the faculty’s Erasmus+ international coordinator


4. How do I fill out the Learning Agreement?

Before starting your Erasmus+ traineeship, you must complete the Learning Agreement document, which can be found at the following link. A guideline is also available to assist you with the completion process. 

The completed Learning Agreement must be signed by all parties (outgoing student, programme director, host institution), and it is the student's responsibility to collect these signatures. 


5. One of the parties is not signing the Learning Agreement despite multiple follow-ups. What should I do?

If the required signatories (programme director and/or host institution representative) do not approve or reject the pending Learning Agreement despite multiple attempts to contact them, it is recommended that you reach out to your faculty international coordinator for assistance in obtaining the necessary signatures. 


6. I have completed the Learning Agreement. Do I have to submit it on paper as well?

The Learning Agreement on paper does not need to be submitted to either the faculty’s International Office or the ELTE Department of Erasmus+ and International Programmes (ENPO). 


7. Which kind of insurance will I need for my mobility?

Health insurance can be certified by having an EU health insurance card valid for the whole mobility period or any other health insurance that is valid in the host country during the whole mobility period. In case of traineeship mobilities, it is the student's responsibility to select and take out appropriate liability and accident insurance if it is needed. 

As you must have a valid insurance for the entire duration of your mobility, if your EU health insurance card is due to expire during your mobility, you must renew it in time. Please note that you already have the option to do this online, through the customer gate. Scan the new card and send it to the e-mail address erasmus.out@dep.elte.hu


8. Can I use my EU health insurance card during mobility?

Health insurance can be certified by having an EU health insurance card valid for the whole mobility period. As you must have a valid insurance for the entire duration of your mobility, if your EU health insurance card is due to expire during your mobility, you must renew it in time. Please note that you already have the option to do this online, through the customer gate


9. Is my social insurance also valid for the duration of my traineeship?

If you do a traineeship during studies and have an active student status at the university, you will automatically remain insured. In the case of traineeship after graduation/completion, you no longer have a legal relationship with the university, so your active student status, which forms the basis of your social insurance, also ceases. Students who absolved or graduated in the fall semester have their student ID card valid until March 31, while students who graduated in the spring semester (absolved/graduated) have a student ID until October 31. From then on, they are insured for another 45 days. So, in the case of the autumn semester, until May 15, in the case of the spring semester, until December 15. You must then take care of your social insurance yourself. 


10. Should health insurance be taken out through the university?

No, it is the student's responsibility to have valid insurance for the entire duration of the mobility. 


11. My residence permit will expire before the mobility/ during the mobility. Do I have to apply for a new one in Hungary or in the host country?

If you are a non-EEA student and an Erasmus+ traineeship during studies scholarship winner, you must ensure that they have a valid residence permit at all times. When your residence permit is about to expire, you will need to apply for an extension on time in Hungary. More information on the extension process: Extension of residence permit

Those non-EEA students that require a visa to enter Hungary must make sure that they do not leave the country without their residence permit cards as it is not possible to re-enter the country without them. Those with visa-waiver passports can re-enter Hungary with their residence permits or leftover visa-free days within the Schengen-zone (90 days within any 180 day period) to re-enter the country. 

In case you need visa to enter and stay in the host country of your Erasmus+ mobility, please check the regulations of the host country and act accordingly!

If you are a non-EEA student and an Erasmus+ traineeship after graduation/completion scholarship winner, you must check the immigration policy of the host country of your Erasmus+ mobility and follow the instructions.  


12. My ID/passport will be expired during the mobility. Is that a problem? What should I do?

Please make sure that your ID/passport is valid and will be valid during the whole study mobility period! In case your ID/passport is about to expire, make sure that you apply and receive your new identification documents before your mobility! 


13. What should I do to receive the Grant Agreement?

Before starting the mobility, the student must complete the before the mobility tasks in order to receive the Grant Agreement issued by the ELTE Department of Erasmus+ and International Programmes, which is a prerequisite for the disbursement of the Erasmus+ scholarship. As part of the before the mobility tasks, the student will need to complete a questionnaire, take the OLS test, provide proof of insurance (e.g., European Health Insurance Card), and submit the Learning Agreement signed by all parties: the outgoing student, the programme director, and the host institution. 14. I have completed every required step for receiving the Grant Agreement. When can I expect to receive it?

The personalised Grant Agreement will be prepared and sent to the student only after completing the before the mobility tasks completely and correctly. For students doing their mobility in the Fall semester, the ELTE Department of Erasmus+ and International Programmes will send the finalised Grant Agreement at the beginning of July at the earliest! The personalised Grant Agreement will be prepared within 10 working days of receipt.
